PhoneOpen Home, then + New, Log an expense and Scan a receipt. Point the camera at the receipt or drop in a photo and DeskOps reads it — the supplier, the total, the date, the likely category — and fills the expense in for you to check and save. The image is kept with the expense as evidence, which is what an accountant wants when a number is questioned. Reading is done by Anthropic's Claude for that one request; the receipt is not used for anything else.
Logging
ComputerQuick actions at the top of the sidebar. Log an expense, category Vehicle (or Equipment); Taxes, then Depreciation for the truck itself.
PhoneOpen Home, then + New and Log an expense. Taxes, then Depreciation. Log the monthly payment as an expense so the cash leaving the business is tracked — Vehicle for a truck or van, Equipment for a machine — and if the payment comes through a connected bank it arrives categorised and you only check it. The truck itself is not an expense: it belongs on the Depreciation worksheet on the Taxes page, where the cost is spread over the years the IRS allows, and the loan's interest is the part of each payment that is deductible. How much of a loan payment counts against your tax is a question for your accountant; DeskOps shows the estimate and the worksheets, and files nothing.

ComputerOpen Expenses, then the category on each row. Settings, then Expense categories for which ones count as job costs. PhoneOpen Expenses, then the row. Settings, then Expense categories. Fourteen categories, the ones a tax return actually asks for — materials, labour, vehicle, tools, insurance, advertising and so on. A bank or card charge arrives already categorised; a hand-logged one takes the category you pick. The same categories feed three things at once: the Schedule C mapping on the Taxes page, the margin calculation, and the Business Health expense ratio — so re-categorising one expense moves all three, and the categories you mark as job costs in Settings decide what counts as cost of goods.
